Personal Assistant

Position: Personal Assistant

Salary: $55,000-$70,000 + superannuation

Location: Wayville, SA

A finance company located in Wayville South Australia is looking for an experienced personal assistant to join their team. The Personal Assistant to the UK Pension Transfer Adviser is responsible for providing a high-level pro-active support to the UK Pension Transfer Adviser through delivering superior customer service, administrative and organisational skills in a timely manner.

Tasks and Duties include:

• Liaise effectively and efficiently with UK pension schemes to gather the information required by the UK Pension Transfer Adviser to facilitate the transfer of UK pension funds to Australia.

• Prepare comparative transfer analysis documents, cognisant of UK and Australian legislation requirements, for the UK Pension Transfer Adviser to review.

• Manage and action the processing of incoming Data Collection Forms from clients and third party advisers, update the system of information and follow up on outstanding paperwork.

• Workflow management – manage your own work flow to ensure strategic advice and service is delivered within required timeframes. 

• Pro-Active Adviser and Personal Assistant Support around the following:

o  Ensure accurate and timely preparation for client meetings.

o  Accurate preparation and review of files, documentation for all client interactions.

• Provide a high level of administrative support, ensuring timely and appropriate execution of administration and database functions.

• Attend meetings with the UK Pension Transfer Adviser as required, taking accurate and comprehensive meeting notes, providing clear record of action items required.

• Prepare and maintain confidential records and filing of reports, correspondence and related material.

• Manage and review all Client correspondence – confirm appointments and follow up outstanding requirements.

• Monitor all incoming correspondence, by phone, mail and email, and provide a daily update of priorities for the UK Pension Transfer Adviser.

• Prepare travel itineraries for the UK Pension Transfer Adviser as required, for both domestic and UK travel, inclusive of meeting bookings and travel arrangements

• Maintain effective and efficient administrative systems and processes. Use personal judgement and initiative to develop effective and constructive solutions to problems and process improvement.

• Liaise closely with all Financial Advisers, Client Service Officers and Paraplanners to ensure a cohesive working environment and maximise productivity and efficiency.

• Compliance – satisfy all Licensee (Kaizen Wealth) Compliance requirements.

• Maintain a sound knowledge of the financial planning industry, products, fund managers and insurers.

• Superior organisational and time management skills with the ability to set priorities and work to deadlines

• Excellent written, verbal and interpersonal skills

• Sound administrative knowledge and skills

• Effective diary management

• Advanced customer service skills

• Operating Systems - proficient in the use of Xplan, BTS and Microsoft Office programmes including Word, Excel, Outlook Email and Calendars

• Availability and willingness to align working hours in order to communicate with UK Pension Schemes as and when required (evening time Australia)


• Diploma or Bachelor degree in commerce, arts, finance or accounting will be considered highly

• Willingness to complete or studying towards PS146 accreditation.

• Demonstrated practical experience of the UK pension industry

• Ability to read, understand and translate UK pension scheme wordings and communications

• Demonstrated knowledge of UK pension legislation, with particular reference to defined benefit schemes.

• Previous experience in a similar role.

• Effective communication and interpersonal skills

• Sound understanding of the Financial Services industry

• Accuracy and attention to detail

• Ability to work independently with minimal direction as well as collaboratively in a team environment

• Strong organisational skills and the capacity to successfully manage competing priorities while maintaining attention to detail

• Commitment to continual professional and personal development.
